Cloud or self-hosted automation: decide who operates it
Self-hosting changes responsibility as well as the subscription.

The short answer
Self-hosting moves the work of running the service to your team: updates, backups, credentials and failed jobs. Choose it when someone can operate it. Otherwise a hosted service such as Zapier, or the cloud editions of n8n and Activepieces, leaves that work with the supplier.
Choose an operator before a deployment model
Name who maintains credentials, updates the service and responds to failed jobs. A self-hosted edition can provide control, but it still needs infrastructure, backups and operational time.
Read the exact edition
n8n offers Cloud and a self-hosted Community edition; its Business offer is a separate self-hosted scope. Activepieces also presents cloud and self-hosted options. Do not assume the free edition includes every paid governance feature.
Keep app credentials and data in view
List which customer or business records the flow reads and where they are stored. Use the smallest app permission needed. Test deletion and credential rotation before moving a trial to production data.
Distinguish internal workflows from embedded integrations
Zapier is a hosted workflow option for app-to-app automation. The current Pipedream pricing page describes Connect for integrating your product’s external users through API, SDK or MCP. These are different jobs and should not share an unqualified price comparison.
Pipedream has stopped taking new sign-ups for Workflows, which shuts down on 31 March 2027; existing workflows keep running until then. Its published plans now cover Connect only, so do not start a new internal automation project on Pipedream Workflows.
Measure a representative trial
Run the same useful process for a limited period. Record billed usage, maintenance work and recovery from one failure. Include hosting and external AI costs when comparing the overall operating model.
