The short answer

Count people who need their own access, then check what each person must be able to do. A seat allowance answers a capacity question. It does not, by itself, establish approval workflows, restricted permissions or access for external collaborators.

Describe the roles in a real campaign

List who prepares the content, who checks it, who manages the audience and who is allowed to send. One person may hold several roles. An occasional reviewer may need less access than an administrator, but you still need to establish how the product supports that arrangement.

Include contractors if they will use the account. Shared credentials make it harder to distinguish actions and revoke one person's access, so they should not be the workaround that makes an undersized plan appear suitable. Confirm the available roles and the rules for adding and removing users before purchase.

Compare seats at the selected plan level

The reviewed catalogue distinguishes limited and unlimited user allowances. MailerLite Comfort and Power differ on this dimension, as do AWeber Lite and Plus. Mailchimp Essentials and Standard also have different documented allowances. Use the exact observation's details rather than copying a higher plan's limit into a lower plan's price.

Brevo illustrates a separate issue: additional seats can be add-ons instead of included capacity. A team may fit only after an extra recurring charge. If that charge has not been verified, the subscription is a known component of cost, not a complete team total.

Keep conflicting evidence unresolved

GetResponse Starter's reviewed seat sources conflict. The catalogue leaves that field unknown rather than choosing the larger allowance. If several people need access, ask the vendor to confirm the current plan and account terms. Missing evidence should not silently become unlimited access or a claim that access is unavailable.

Enter the required seats in the calculator alongside contacts and sends. Then keep a short list of permissions and approval requirements that still need a product demonstration or documented answer. This separates the cost comparison from usability claims we have not tested, while giving the team a practical way to finish the decision.
